Initial situation
The cooperative receives a high number of housing applications every year — handwritten or printed and sent by post, occasionally also as email attachments. Each application has to be manually transferred into an internal list, extensions are handled through phone inquiries, and deletion deadlines are managed in Excel spreadsheets. Duplicate entries can only be identified with considerable effort.

Solution
A dedicated online system at bewerbung.siedlungswerk-landshut.de fully replaces the previous PDF-based process. Applicants log in with their email address using a 6-digit confirmation code sent by email, complete the application form directly in the browser, and immediately receive a PDF confirmation. Renewals, status inquiries, and changes can be handled independently — at any time, without postal mail.

In the office backend, employees can view all applications with filters, search, notes, and bulk functions for collective mailings. An integrated statistics dashboard shows trends in incoming applications, renewals, and response times. Reminders before expiry, the soft- and hard-delete pipeline, and the complete audit log run automatically.
